The Founder's Flow runs on its own operating system: clear processes, one source of truth for offers and prices, a shared work log, and a team of AI employees, each with one job. There is a chief of staff, a bookkeeper, a marketing lead, a content creator, an outreach specialist, a sales coordinator, a web designer, a product builder and a prompt engineer. They prepare and draft; the founder decides and sends. This post shows how that works day to day.
We build AI-powered operating systems for service-based solopreneurs, so we run our own business the same way. Everything below is how we actually work, not a demo.
Who is on the team
Each AI employee has a name, a role, one clear job and a workspace where it keeps track of what it has done:
- Alan, Chief of Staff. Every morning he gathers deadlines, important emails, open tasks and money into one dashboard.
- Clara, Bookkeeper and Tax Assistant. Every Monday she records income and expenses across all our brands, files receipts and prepares notes for our accountant.
- Elena, Marketing Lead. Plans each week's content and outreach on Sunday and reports on what worked on Saturday.
- Xavi, Content and Social Creator. Turns Elena's plan into posts, graphics and articles like this one.
- Babatunde, Outreach Specialist. Finds people who might need our help and drafts personal messages.
- Oluwatoyosi, Sales Coordinator. Our newest hire. Qualifies enquiries and drafts replies, call notes and proposals.
- Sofia, Web Designer and Developer. Designs and builds pages on this website.
- Maya, Product Builder. Builds templates, trackers and ready made products.
- Marc, Prompt Engineer. Writes and maintains the instructions every other employee works from.
The one rule they all follow
No AI employee sends, pays, publishes or contacts anyone on its own. Every one of them works the same way:
- It prepares the work: a draft, a list, a report, a reply.
- It flags what needs a decision.
- The founder reviews, approves and sends.
What a normal week looks like
Most of the team runs on a schedule, so the week has a rhythm:
- Every morning: Alan's dashboard is ready before the day starts.
- Sunday: Elena plans the week and Xavi drafts the posts.
- Monday: Clara updates the books.
- Monday, Wednesday and Friday: Babatunde prepares outreach drafts.
- Weekdays: Oluwatoyosi checks new enquiries and drafts replies.
- Saturday: Elena reports on the week.
What we learned building it
A few lessons that apply to any business thinking about AI employees:
- One job each. A narrow job gives reliable results. A do everything assistant gives average results everywhere.
- A workspace matters. Each employee needs somewhere to keep track of its work, or every run starts from zero.
- A shared work log. One place that shows what every employee did, with links, saves a lot of checking.
- Clear sources of truth. Our offers and prices live in one document that every employee reads, so nobody quotes an old price.
Want a team like this?
You do not need nine. Most solopreneurs get the biggest win from one or two: usually a chief of staff, a bookkeeper or a content creator.
We build custom AI employees around your business from €150 each, or €390 for a team of three. If you want the whole system set up together, with your processes, tools, client journey and AI employees joined up, start with an Operating System build.
Common questions
Are the team members real people?
No. They are AI employees with names and portraits so they are easy to work with and talk about. The founder is the only person in the team.
Which AI tool do they run on?
Our team runs on Claude. The AI employees we build for clients start on Claude too, with other platforms coming soon.
