5 Admin Tasks to Hand Off to AI This Week

The five admin jobs most solopreneurs can hand to AI right away are inbox triage, a morning priorities summary, receipt and expense logging, first drafts of social posts, and follow up reminders for leads and clients. Each one is repetitive, easy to check, and takes back time every single week.

You do not need a big system to start. Pick one of these, set it up properly, and let it run for two weeks before adding the next. Each one you add becomes part of your operating system: the way your business runs without depending on your memory.

1. Inbox triage

What the AI does: reads new email, sorts it into what needs a reply, what is a receipt or invoice, and what can wait, then gives you a short list with one line on each.

What you keep: the replies. Let the AI draft them if you like, but you read and send.

2. A morning priorities summary

What the AI does: pulls together your deadlines, unanswered messages and open tasks into one page each morning, ranked by urgency.

Why it helps: you start the day knowing the three things that matter, instead of spending the first hour working out what they are.

3. Receipts and expense logging

What the AI does: finds receipts and invoices in your email, records each one in a spreadsheet with the date, amount and category, files the document in the right folder and lists anything missing.

What you keep: decisions on anything unclear, such as whether a purchase is business or personal, and the final check with your accountant.

4. First drafts of social posts

What the AI does: turns your notes, a voice memo or a weekly plan into draft posts in your tone of voice, adapted for each platform.

What you keep: your own stories and opinions, and the final yes before anything is posted.

5. Follow up reminders

What the AI does: keeps track of every lead and client conversation, notices when someone has gone quiet, and drafts a short, friendly follow up for you to send.

Why it helps: most small businesses do not lose clients to competitors; they lose them to slow replies. A follow up you send on time is worth more than a perfect one you never send.

How to start without making a mess

  1. Write the job down. If you cannot explain the task in a few sentences, tidy the process first.
  2. Give it only the access it needs. Read access to your inbox is enough for triage; it does not need your bank.
  3. Keep the approval step. The AI drafts and prepares. You send, pay and publish.
  4. Review weekly for the first month. Small corrections early make the results reliable.

Want these set up for you?

Each of these can run as an AI employee built around your business, from €150. When you want them joined up with your processes, client journey and tools, an Operating System build sets up the whole system, from €1,500. If you are not sure where to start, the Flow AI Roadmap finds the five AI and automation wins worth doing first for you.

Common questions

Is it safe to let AI read my email?

Use read only access where you can, keep the job narrow, and make sure nothing is sent without your approval. Never let an AI store passwords or card details.

Which one should I start with?

The one that annoys you most each week. For many founders that is receipts or follow ups, because the cost of forgetting them is real money.
